Assistant to the Head of School/Administrative Support

The Grammar School (, an independent school serving preschool through eighth grade, in Putney, Vermont, is seeking an Assistant to the Head of School/Administrative Support beginning immediately.

Founded in 1960, the school is located on 60 acres of fields and woodlands and emphasizes the education of the whole child, focusing on core academics, arts, and outdoor education. This position reports to the Head of School.

Position Summary

The assistant to the head of school provides consistent, confidential, and professional administrative support in order to maintain the well-being of the school and the broader community.  This position promotes the school’s mission, putting it foremost in all decisions and actions. The assistant to the head plays an integral role in the day-to-day workings of both the faculty and the student body and helps foster an atmosphere of trust and openness among teachers, students, and parents. The ideal candidate is the first line of communication between the head of school and the wider community.

Essential Duties and Responsibilities

  • Organize and review daily priorities for the head of school
  • Schedule, maintain, and confirm the head of school’s appointments and calendar activities
  • Screen the head of school’s phone calls and take messages
  • Provide general clerical duties and administrative support to the school
  • Manage and maintain school supplies and materials
  • Maintain family, student, and donor records and databases
  • Maintain student medical records
  • Prepare the parent directory
  • Prepare and manage the school calendar
  • Open and deliver the school’s mail
  • Assist in planning campus-wide events
  • Maintain a current list of substitute teachers
  • Prepare new-staff and faculty orientation for the start of the school year
  • Compile information as requested, formatting reports, graphs, tables, records, and presentations
  • Provide basic attention/first aid/comfort to students with minor injuries
  • Assume responsibility for other projects as assigned by the head of school
